Author Guidelines

Definitions, requirements at submission, and registration.

These requirements apply to every submission. See also the Submission Guidelines and the Publication and Media Hosting guidelines.

Definitions

  • Author: anyone listed in a submission’s author list.
  • Submitting author: the author who creates the submission in AirBalloon and submits it on behalf of all authors.
  • Co-author: any other author listed on the submission.
  • Program: a program in the main conference (the Research Program, the Application Program, or a frontier session) or a workshop. Workshops may be organized by external conference organizers.

Requirements at Submission

AirBalloon Accounts

All authors, not only the submitting author, must have an account on the AirBalloon conference management system and be added to the submission with the email address of that account. Submissions listing authors without an account may be desk-rejected.

Author Information

Each author must provide an accurate name, affiliation, and email address in their AirBalloon profile and declare any conflicts of interest.

Author List

The author list must be complete by the submission deadline. Author order may change afterward, but adding or removing authors requires Program Chair approval.

  • Papers and Abstracts: The limits count only within one program, so a submitting author may, for example, submit two papers to the Research Program, two papers to the Application Program, and two papers to a workshop.
  • Different categories: Within the same program, a submitting author who makes two papers or two abstracts must submit them in different categories, for example one Full Paper and one Short Paper, or one Lightning Talk and one Poster-Only submission.
  • Proposals: The limit applies to the main conference only.
  • Total: The limit counts all submissions on which an author appears across the full conference, including all programs in the main conference and all workshops combined, whether a workshop is organized by Cross-AI or by external conference organizers.

If these limits are exceeded, all related submissions are desk-rejected under the Desk Rejection Policy. Before submitting, check with your co-authors and plan your submissions together so that no author exceeds the limits.

Reviewer Nomination

Reviewer nomination requirements vary by program, including individual workshops. The AirBalloon submission form indicates whether nominations are required. When required, each paper submission must nominate at least one reviewer, who may be an author or another qualified researcher.

  • Single-author or student-only submissions: If a paper has a single author or all authors are undergraduate, high-school, or younger students, the nominee must be a qualified non-author researcher.
  • Reviewer profile: Each nominee must have a complete reviewer profile on AirBalloon. Nominees without one, including authors, must sign up as reviewers.
  • Reviewer assignment: Nominees may be invited to review other submissions, but never their own papers or submissions involving a conflict of interest. All nominations and assignments are subject to approval by the Program Committee.

Paper submissions without a required or valid reviewer nomination are desk-rejected under the Desk Rejection Policy.

Registration

At least one author of each accepted submission must register by the Early Registration deadline and present the work. See Author Registration Rules for coverage and fees.
